A few lines is enough:

• what the organisation does, and roughly how many people work there;
• the task you have in mind, and what makes it slow or awkward;
• anything you have already tried;
• whether someone could look after a new system once it is set up.

Please keep the first email general and leave out confidential or personal information. If the project can help, a way of sharing details will be agreed.

Every enquiry gets a reply, usually within five working days. This is volunteer time, so it is sometimes slower. If you have heard nothing after a fortnight, please write again.

If the project can help, the reply suggests a time to talk. If it cannot, the reply says so and, where possible, suggests somewhere else to try.
