Privacy notice

What personal data the project holds, why, for how long, and what you can ask for. If anything here is unclear, write and it will be explained.

Who is responsible

The Fieldwork Project is an unincorporated volunteer initiative run by Gabriele Ferretti, who is responsible for the personal data described here (the “controller” under UK data protection law). It is not a company or a registered charity. Write to contact@fieldworkproject.co.uk with any question about this notice.

What is collected

  • When you email the project: your name, email address, the organisation you represent, and whatever you choose to say in your message.
  • During a piece of work: information an organisation chooses to share about how a task is done, such as sample documents or exported records. The project asks for personal information to be removed before anything is shared. Where some remains, it is used only for that piece of work. Where access to an organisation's own systems is agreed, it is limited to what the work needs.
  • When you visit this site: aggregate, anonymous usage statistics only. See Cookies and analytics.

The project does not ask for special category data, such as health information, and asks you not to send it. If your work involves sensitive personal information, such as casework or safeguarding records, say so at the outset so the work can be arranged to avoid handling it.

Who it is shared with

Personal data is not sold, not shared for marketing, and not passed to technology companies. It is processed on the project's behalf by an email provider and by Cloudflare, which hosts this site.

Systems set up during a piece of work run in the organisation's own accounts, with providers it chooses and under its own agreements with them.

Nothing about the organisations the project works with is published.

How long it is kept

  • Enquiries that do not lead to a piece of work: deleted within 12 months.
  • Information shared during a piece of work: [TO COMPLETE: how long it is kept after the work ends, and whether it is deleted or returned]

Cookies and analytics

This site sets no cookies. There is no tracking, no advertising technology and no third-party profiling, which is why there is no consent banner.

Page views are counted in aggregate by Cloudflare Web Analytics, which does not use cookies or identify individual visitors. The fonts are served from this site itself.

Your rights

Under UK GDPR you have the right to ask for a copy of the personal data held about you, to have it corrected or erased, to restrict or object to how it is used, and to receive it in a portable format. Write to contact@fieldworkproject.co.uk and you will get a response within one month.

Complaints

If you are unhappy with how your data has been handled, please say so first so it can be put right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk.

Changes to this notice

If the way personal data is handled changes, this page is updated and the review date at the top changes with it. Organisations the project is working with are told directly.
